Many leads who never answer a phone call will answer a WhatsApp message. They can reply when it suits them, in a few words, without committing to a conversation. That makes WhatsApp the natural channel for follow-up, as long as the follow-up is planned rather than improvised.
Start with consent and the official API
Two rules come before any template:
- Get consent. Your form should say clearly that the lead agrees to be contacted on WhatsApp. It protects your number and sets expectations.
- Use the WhatsApp Business Platform, not a personal phone. Conversations stay with your company, the whole team can see them, and you can send approved templates.
On the WhatsApp Business Platform, you can reply freely within 24 hours of the customer's last message. Outside that window, the first message must be a pre-approved template (Meta documentation). Plan your follow-up templates in advance and submit them for approval.
The sequence
A clear rhythm beats random reminders. Here is a sequence you can adapt:
- Minute 1: acknowledge the request and ask one easy question.
- Hour 2 (if no reply): send something useful: the brochure, the price list, the catalog.
- Day 1: a short, specific question that is easy to answer.
- Day 3: new information: an availability update, a relevant example, a short video.
- Day 7: offer two concrete slots for a call or visit.
- Day 14: the polite close: ask whether to keep the request open.
- After that: move the lead to a monthly nurture list, with real news only.
Stop the sequence as soon as the lead replies: from that moment, it's a conversation, not a campaign.
Message templates
Adapt the wording to your sector and tone. Keep each message short enough to read on a lock screen.
Minute 1: acknowledgment
Hi Sarah, thanks for your request about the 2-bedroom apartments. I'm Leo from Nova Group. To send you the right options: is this for living in or for investment?
Hour 2: something useful
Here is the brochure with the floor plans and current availability. Happy to answer any question here, whenever suits you.
Day 1: an easy question
Quick question so I don't send you anything irrelevant: are you looking to move in the next 3 months, or later?
Day 3: new information
Two new units matching what you described just became available this week. Would you like the details?
Day 7: two concrete slots
Would a 15-minute call help? I can do Tuesday at 11:00 or Thursday at 17:30. Just reply with the one that works.
Day 14: the polite close
I don't want to fill up your WhatsApp. Should I keep your request open, or close it for now? Either answer is completely fine.
The day-14 message often gets a reply precisely because it is easy to answer and asks for nothing.
Five rules that make follow-up work
- One question per message. Two questions get zero answers.
- Use their name and their request. Generic messages read like spam, and get treated like spam.
- Answer in their language. If they write in another language, switch.
- Respect quiet hours. Schedule messages for reasonable local times.
- Make opting out easy. A lead who says "no thanks" should never get the next step.
Track what happens
Measure the reply rate per step, the share of conversations that turn into a booked meeting, and the share of leads who opt out. If a step gets few replies, rewrite that message first.
Automating the sequence
Running this by hand for every lead quickly becomes impossible. The AI WhatsApp Agent sends the sequence on schedule, holds the conversation when the lead replies, answers from your documents, qualifies and books the meeting. When a phone call works better, the AI Call Center takes over. For the bigger picture, read the WhatsApp automation playbook.
